Time Management for Trainers: Strategies for Staying on Track and Meeting Deadlines

As training professionals, one of the most important skills we teach our learners is how to manage their time effectively. Whether it’s creating a training schedule or high-level design, preparing materials, or delivering the training, managing time is crucial for staying on track and meeting deadlines.

In this blog post, we will be sharing strategies for time management as a trainer.

First and foremost, it’s important to set clear and realistic goals for the training program. This means establishing specific, measurable, achievable, relevant, and time-bound (SMART) goals for the training program. Having clear goals in place will make it easier to create a training schedule and plan the necessary tasks and activities.

It’s essential to create a detailed training schedule or a high-level design document. This includes outlining all the necessary tasks, activities, timing, materials if needed, modality for the training program, as well as the deadlines for each task. It’s important to be realistic when creating the schedule and to allow enough time for each task.  It is essential to account for any unforeseen delays or obstacles that may arise during the training program.

Trainers should prioritize tasks. This means identifying the most important tasks and focusing on them first. It’s essential to break down large tasks into smaller, manageable chunks. By breaking down large tasks, it’s easier to stay on track and make progress toward the goals of the training program, as well as providing more flexibility for adjustments.

The “Start”, “Stop”, and “Continue” technique is an action-oriented, proactive techniques that is used to increase the effectiveness and productiveness of training or a workflow. It is a simple feedback tool that works at the moment during the facilitation of a workshop, as well as looking at bigger-picture business goals and activities.  In the classroom, it is a simple feedback tool that can help you continually improve over time that works at both an individual or group level.  In the classroom, it can be strictly verbal or it can be gathered using a whiteboard method listing the Start, Stop, and Continue as column headings.

As training professionals, we know the importance of time management in the success of any training program. Without effective time management, trainers risk missing deadlines, compromising the quality of the training, and ultimately failing to achieve the intended goals.

The strategies we’ve discussed, such as setting clear and realistic goals, creating a detailed training schedule, prioritizing tasks, and using the “Start,” “Stop,” and “Continue” techniques, are essential for effective time management. By implementing these strategies, trainers can increase their productivity and achieve their training objectives efficiently.

Therefore, I strongly encourage all trainers to take time management seriously and apply these strategies in their training programs. Remember, time management is not a one-time task but an ongoing process that requires consistent effort and commitment. By doing so, trainers can enhance their performance, improve their results, and ultimately benefit their learners’ growth and development.
